Membership Terms and Conditions.

PLEASE READ THE TERMS AND CONDITIONS OF THIS CONTRACT

By completing payment you are confirming that you have read, understood and are agreeing to the terms & conditions and cancellation policies outlined below.

Between: You (The Member) and FLOW (The Facility).

1.0 GENERAL

1.1 All contracts must be paid for in advance. Memberships will not be confirmed until payment has been received.

1.2 I understand there are inherent risks in participating in a program of physical exercise. If I sustain or claim to sustain any injury while participating in the program, I acknowledge that FLOW and the coaching team are not responsible, except where the injury was caused by gross negligence or an intentional act of a coach. I confirm I am medically fit to participate or have sought medical advice where appropriate.

1.3 I will adhere to all instructions given to me by FLOW staff.

1.4 I understand my progress is dependent on my effort, consistency, cooperation and adherence to the programme both inside and outside of training sessions.

1.5 I understand that opening times are subject to change and will vary from the regular schedule over holiday and Bank Holiday periods.

THE MONEY BACK GUARANTEE

1.6 I understand that in order to be eligible for the action takers guarantee (if appropriate) I must attend at least 3 coached sessions week at FLOW (every week), use MyFitnessPal or the Flow App to track and hit my nutrition targets (set by FLOW coaches) every day and complete measurements with the FLOW coaches, every month for the full duration of my membership.

2.0 CONTRACT DURATION & RENEWAL

2.1 I understand that by completing payment and agreeing to this contract I commit myself to a minimum contracted term of Monthly, 6 months or 12 months (depending on which option is selected).

2.2 I understand that this contract is in force for a rolling calender month, 6 month or 12 months (as appropriate) from the contract start date - this commences when payment is successfully processed.

2.3 I understand that once I go past the minimum term set out in my contract I will automatically enter a rolling monthly contract, where a 28-day notice period is required for cancellation.

3.0 PAYMENTS

3.1 The Member agrees to pay monthly recurring fees (as appropriate for the selected membership) for every month’s membership at FLOW via recurring card payment through the Stripe payment system.

Note: Unused sessions DO NOT carry over from week to week or billing period to billing period.

3.2 Membership payments will automatically recur each month for the agreed contract term and continue unless cancelled with the required notice.

3.3 I confirm that I am the authorised holder of the payment method used.

3.4 I understand that my membership may be suspended if my account becomes more than 28 days overdue.

4.0 MEMBERSHIP PAUSES

4.1 During the initial contracted term (6 or 12 months), membership pauses are limited to a maximum of 30 days in total.

4.2 After the initial term has been completed and the membership has moved onto a rolling monthly agreement, pauses are limited to a maximum of 90 days per calendar year.

4.3 All pause requests require 28 days’ notice prior to the next scheduled payment. Requests made after this time will take effect from the following billing cycle.

4.4 Upon completion of any pause period, membership payments will automatically resume.

4.5 If you choose to cancel your membership during a pause period, the standard cancellation terms and notice period still apply.

5.0 CANCELLATIONS

5.1 After the initial contracted term, cancellations require 28 days’ notice. Any payments due within this period will be processed as normal and are non-refundable. You will continue to have access during this time.

Note: You will, of course, be able to continue at FLOW for a month after your final payment has gone through.

5.2 Cancelling before the end of the minimum contracted term will result in an early termination fee equal to 50% of the remaining contract value.

5.3 Memberships that are paid in full/upfront are non-refundable.

5.4 These terms are in place to ensure fairness and consistency for all members. Any exceptions are made at the discretion of FLOW.

6.0 BOOKINGS & SESSION RESERVATIONS

6.1 All sessions must be booked in advance using the FLOW booking system.

6.2 In the interest of fairness to all members, recurring reservations are not offered. All members must book sessions individually.

6.3 FLOW reserves the right to remove or amend any existing recurring bookings to ensure fair access to sessions for all members.

6.4 Members are responsible for managing their bookings. Repeated no-shows or late cancellations may result in restrictions on booking privileges.

7.0 MEMBERSHIP RATES & PRICING

7.1
FLOW reserves the right to offer different membership rates, promotions, or discounts at its discretion, including founding rates or legacy pricing.

7.2 These rates may vary between members and are not guaranteed to be available in the future.

7.3 If a membership is cancelled, any previous pricing, discount, or legacy rate is no longer valid.

7.4 Should a former member re-join, membership will be offered at the current rates available at that time.

7.5 FLOW reserves the right to review and adjust membership pricing where necessary. Any changes will be communicated in advance.

8.0 AGREEMENT

I understand that by completing payment and taking up membership at FLOW I am entering a contract and agreeing to the terms and conditions outlined above.
